1) Why should schools contact the Parks Department prior to an event/field day?
(1) The Parks Department may reschedule staff for mowing or daily maintenance.
(2) Prevent conflicts with scheduled events the Parks Committee/Parks Department may have already planned with other schools/day cares in the surrounding area.
(3) Avoid over-usage of the facility.
(4) The Parks Department can make necessary preparations such as extra trash receptacles/lavatory supplies.
(5) Coordinating parking for large events eliminates risk/liability for all parties, and allows for emergency access at all times.

2) What parks are best for our schools events?
All City parks provide wonderful opportunities for field days, picnics, etc. By coordinating your activity with the Parks Department each school is assured the best location for specific events, eliminating the chance of overlapping.

3) Are schools required to reserve athletic fields and tennis courts?
Yes. The Parks Department has contractual agreements with clubs/organizations to serve recreational youth/adult sports. The Lessee has priority of the athletic facilities during a specific season. Requests for fields and tennis courts will be taken at the beginning of each school year on a first-come, first-serve basis.

4) Is there a fee to use City athletic fields and tennis courts?
Yes. Any school group may complete a user application.

5) Does my school have to pay if it is just practice or a one time tournament?
These requests will be addressed on an “as needed” basis and require written notice to the Parks Department.

6) What if my school group can not afford to pay for the use of an athletic/tennis facility?
Not to worry, any school group may apply for a “Hardship Application”. A “Hardship Application” is available to those school groups requesting a reduction/waiver of fees. The “Hardship Application” should be used after all other school resources have been exhausted and requires the signature of the school principal/headmaster. A “Hardship Application” is required 30 days prior to use date.

7) What is the refund policy?
All fees are non-refundable.

8) What is the refundable damage deposit for?
A check in the amount of $150.00 is due prior to the start of the practice/play season or tournament. This damage deposit will be refunded the first business day after the practice/tournament/season ends if user groups have left the parks facilities free of trash, debris and damage after each practice/game.

9) How do we reserve the Passive Parks and Pavilions?
A call to the Parks Department's office at (615) 794-2103, would start the process for checking availability and distributing the appropriate paperwork. Our parks Program Coordinator is Anna Shuford.
